Flow: introduction

Flow is the Sensever section for tasks, deals, projects and any other work objects. You can use it for a simple to-do list, a sales pipeline or a process with approvals. You set up fields, statuses, views and rules yourself, with no developer needed.

Flow opens at https://sensever.com/flow under your Sensever account. There is no separate sign-in. The old address flow.sensever.com redirects to the same place.

This article explains how Flow works and what it is made of. Each part has its own article in the series; the links are collected at the end.

What you can do in Flow

  • Manage tasks. Assignee, due date and start date, priority, tags, watchers, statuses. A task has a checklist and subtasks, and you can make it recurring. Tasks can be shown as a table, board, calendar and timeline.

  • Run sales. The CRM template creates companies, contacts, deals and activities, plus a deal pipeline.

  • Describe your own objects. Contract, application, candidate, equipment: each object type has its own fields and its own set of statuses. You can start a new type from a ready-made preset or load it from a template file.

  • Automate routine work. A rule fires when an object is created, when its status changes or on a schedule. It changes fields, moves the object forward, creates another object, sends a notification or an email, or calls an external URL.

  • Take objects through processes. A multi-step process waits for a decision from approvers, an external event or a deadline.

  • Keep track of due dates, time and workload. Due date reminders, SLAs per status, time tracking with a timer, time-in-status reports, a conversion funnel, burndown and shared team dashboards.

  • See all your work at once. The "All workspaces" mode gathers objects, tasks by section, approvals and reports from all your workspaces.

  • Discuss work in chat. Every object has a discussion in Sensever chat, and you can mention colleagues with @. Flow notifications arrive in the "Sensever Flow" conversation and, if you like, by email; you can subscribe your own calendar to due dates.

  • Connect your systems. The Flow API, webhooks and incoming external events.

Key concepts

Concept

What it is

Workspace

A separate work area with its own objects, members and settings. Data from different workspaces never mixes

Main

Your personal workspace. It is created the first time you sign in and cannot be deleted or renamed

Object type

A description of objects of the same kind: "Task", "Deal", "Contact". A type has fields, statuses and views

Object

A specific record: one task, one deal. An object has a name, an assignee, field values and a current status

Field

One property of an object: due date, amount, priority, watchers, a relation to another object

Status

The stage an object is at: "New", "In progress", "Done". Each status belongs to one of four categories: open, in progress, completed, canceled

Status process

The set of a type's statuses and the transitions allowed between them. You set it up in a visual editor

View

A saved way to show objects of a type: a table, board, calendar or timeline, with its own filters and sorting

Automation

A "when → if → do" rule that runs without human involvement

Process

A multi-step scenario with approvals, waits for events and deadlines

Role

A member's set of permissions: what they can see and what they can change

What it looks like

On the left is the Flow column. At the top of the column are the workspace switcher and the "+" button ("Add workspace"). If you have a time-tracking timer running, the elapsed time and a stop button appear under the switcher. Below that, inside a workspace, there are three blocks:

  • "All objects" and the workspace's object types, each type with its own icon;

  • "Approvals" (with the number awaiting your decision next to it) and "Reports";

  • "Settings" and "Sign out".

If you narrow the column, only the icons remain, and the switcher shows the current workspace's avatar.

If you already have workspaces, Flow opens in "All workspaces" mode when you sign in. Its column contains "All objects", "By section", "Approvals", "Reports" and "Email and calendar" — objects, tasks and approvals from all your workspaces at once. You pick an individual workspace in the switcher.

An object type opens in the view you chose last: table, board, calendar or timeline. Calendar and timeline are available for types with a date field, and board for types with statuses. Clicking an object opens its card. In the card you change fields and status, work with the checklist and subtasks, track time, attach files, hold discussions and see the change history.

Workspace settings are split into tabs: "Types and fields", "Members", "Access", "Processes", "Webhooks", "Notifications", "Business hours".

The Flow interface is shown in the language you chose in Sensever: English or one of the site's other 21 languages. Names of types, fields and statuses in a new workspace created from a template are also created in this language.

Getting started

  1. Open https://sensever.com/flow and click "Start". Flow creates your Main workspace with the "Task" type, a board, a table and a calendar.

  2. Create your first task: name, due date, assignee. On the board you can add a task right in a column.

  3. If you need a team, create a separate workspace (the "+" button next to the switcher) and invite colleagues in "Settings → Members".

  4. When the basic setup is no longer enough, add fields, statuses and rules in "Settings".

Pricing

Flow is free for a single person, with as many workspaces as you like. The workspace owner pays $5 per month for each staff member who can change data in their workspaces. Watchers who only view are free. Details are in Flow: members, roles, teams and billing.
